Effect has been used in 400+ Bulgarian hotels for 20+ years and is one of the most widely used specialised warehouse programs for hotels. WMS builds on it with AI and automation: it reads invoices and enters the items, sends documents straight to the accounting system with no re-entry, and enables stock counts on a mobile device right in the storeroom - no printouts, manual count sheets or transferring the results afterwards. On top of that comes hotel BI for a 360° analysis of the business.
SAF-T is a new legal requirement for every industry: data on documents, counterparties, items and stock movements is submitted to the National Revenue Agency from the accounting software in a standardised, structured format. For hotels, this means data from the PMS, POS and warehouse software must reach the accounting software in a SAF-T-compatible format. WMS already meets the requirements - it provides SAF-T-compatible data exchange for purchases and inventory, just as the PMS and POS do for sales. The hotel keeps working in its specialised warehouse software, and the accounting software receives everything it needs. SAF-T does not require changing the warehouse system, and the storeroom teams carry on without interruption.
Some accounting software vendors present SAF-T as a reason to switch to their own warehouse module, which is often not suited to hotel specifics. This is neither a legal nor a technical requirement - the data is submitted correctly and in compliance, and Effect and WMS stay in place.

Snap the invoice - the system enters the items
The supplier's invoice is photographed with a phone or scanned. The system reads it, recognises the items and maps them to your item catalogue. The goods received note is created with a single confirmation - no manual retyping and no switching between documents. The original is stored in a digital archive with folders, indexes and search across the document's content, not just its name. The hours that went into retyping from paper every week are freed up for other work.
Count stock on the spot, with a phone
Stock counts, consumption, transfers and requests are done from a phone or tablet via a QR code, with no app to install. Units of measure are buttons, and quantities are entered with a single tap. The result goes straight into the document, and the data reaches accounting, reports and BI in real time. The count is done before you leave the storeroom. The hotel keeps working in its proven, specialised warehouse software instead of switching to the accounting software's warehouse module, which often doesn't meet the hotel's needs: specific item catalogues, multi-level recipes, cost per meal-day, kitchen waste.
